CEA LLP Eliminates Offsite Storage Costs and Radically Increases Staff Productivity with Laserfiche and Adjamian Affiliated Inc.

The certified public accountants and consultants have gotten rid of files in off-site storage and in their Carlsbad office. Managing Partner Tom Applegate says productivity has increased up to 75%.
Carlsbad, CA — September 6, 2011 – CEA LLP is a full-service public accounting firm that provides tax, accounting, auditing and consulting services. With such a wide range of services, their 28 employees had to maneuver around stacks of files and store a lot of documentation off site.
“We had a lot of filing cabinets and a lot of paper moving around,” said Tom Applegate, the managing partner of CEA LLP. “There were lots of instances of misfiling and lost files.”
In the early 2000s, Applegate said he saw other CPA firms migrating to a paperless filing structure. The office also wanted to become more environmentally friendly and increase the quality of service to their clients. Applegate looked into a number of products and providers, including Laserfiche and Adjamian Affiliated Inc. Before implementing Laserfiche, the firm kept two years’ worth of files onsite in their office, and seven years of files in offsite storage. Applegate says retrieving files from offsite storage was both expensive and time consuming.
“If you needed those files, you had to request it through the index — by file and then by box. Your file retrieval system was only as good as the index,” Applegate said. “And of course there was a transaction fee for each received file. The general turnaround was three days; expedited turnaround was 24 hours, but you paid a premium.”
CEA LLP implemented Laserfiche in 2004 and received training from Adjamian Affiliated. Recently, Adjamian Affiliated held a “refresher course” on the software for the entire CEA LLP office. Applegate said that Adjamian has provided exemplary support over the years.
“Requests are answered almost immediately, and if there’s follow-up, it’s done within 24 hours,” Applegate said. “Their support is wonderful.”
Since implementation, CEA LLP has greatly reduced the number of filing cabinets and other storage units on site. As of 2010, they were able to completely cancel offsite storage and shred the last of those files. Applegate says it’s made a huge impact on how they use their workspace.
“Where we used to have files internally we now have workspace. We have desks there. We utilized the space with employees. It’s a better utilization of existing space,” Applegate said. They’ve also spruced up their interior decorating: “We actually put some plants there.”
Overall, Applegate says productivity has improved by up to 75%!
