The benefits administration company uses Laserfiche for electronic document storage and filing. Their Director of Document Management says Adjamian Affiliated Inc. made him feel confident about the decision to migrate from a paper-based system.
Hollywood, CA — September 20, 2011 – A pension and health benefits administration office says it successfully utilizes Laserfiche with the help of Adjamian Affiliated Inc. to keep track of documentation for their union members.
Peter Welch is the director of document management for the company. He says since implementing Laserfiche, it has become “the Bible” for his office’s 70+ employees. The company started scanning documents in 1999, but was ready to upgrade to a more technologically advanced system by 2004.
“Our Director of IT felt that the Laserfiche product would be the best fit,” Welch said. “We looked around, we talked to several different organizations, and we decided that Laserfiche was going to be it. We closed down the other aging system, migrated documents into Laserfiche, and started scanning the daily documents into Laserfiche. Adjamian Affiliated took care of the entire migration for us; the whole transition was very smooth.”
Before Laserfiche, their filing system wasn’t standardized, and they still used offsite storage for a lot of documents.
“It was chaotic when a file went missing. We had to have six different people searching for it,” Welch said. “It could take a half hour to an hour to find it.”
They’ve been able to save money on paper, storage, and in labor hours, since employees spend so much less time hunting for files. The pension administrator company has reduced onsite file storage and has been able to add several new offices in what used to be a packed file room. When they had to move offices, they were able to save on rent by transferring to a smaller space.
“It went from dead space to productive space,” Welch said. “The work definitely gets out faster. We don’t need as much administrative staff. We don’t have to file anything, so that saves us hours.”
In terms of convenience, Welch said they’ve never had a problem getting in touch with support from Adjamian.
“It’s been extremely convenient,” Welch said. “They’re there when we need to talk to them, and they always have been, 24/7.”
Welch said some departments needed a customized Laserfiche integration, which Adjamian Affiliated was able to do.
“All the custom integration was done with no problems,” Welch said. “We’ve had to have Laserfiche integrated with other systems, and it’s worked out very well.”
