The Roberts Companies Eliminate Offsite Storage, 70% of Onsite Boxes with Adjamian Affiliated

Property management firm The Roberts Companies had boxes stacked from floor to ceiling on every inch of available space in their Santa Monica office. They were even using vacant apartments for storage. Now, their workflow is streamlined and their offices are clear, thanks to Adjamian Affiliated and Laserfiche.

Santa Monica, CA — September 13, 2011 – Things had gotten a little cramped at The Roberts Companies. So cramped, in fact, that CFO Antonio Llamas described it as “wall-to-wall paper, from floor to ceiling.” As the square footage rapidly decreased, employees began storing records and boxes in empty units at the properties they managed.

“There was no more space to store things,” Llamas said.

The Roberts Companies own, manage and develop apartment buildings around Los Angeles. With hundreds of tenants to keep track of, they had receipts, checks and forms stacked on every available surface. Fortunately, their CPA mentioned how his office had gone paperless with Adjamian Affiliated and Laserfiche. They looked into it and quickly realized how much they could benefit from a paperless document management system.

Their custom solution was implemented in March of 2008. Today, the Roberts Companies office has been able to get rid of approximately 70% of the onsite storage boxes. Satellite employees are no longer using empty apartments to stack boxes or folders.

“It’s just neater. There’s more office area and more computers and tables for the office to use and benefit from,” Llamas said. “The space is being used efficiently and productively, as opposed to just being storage space.”

In terms of technical support, Llamas said that his employees are able to get help directly without having to escalate the issue to him, which saves a lot of time. IT Director Tal Shalom said that Adjamian Affiliated’s support has been even more accessible than he anticipated.

“Everything is easy. More than easy,” Shalom said. “I can communicate with the support team directly.”

Overall, Llamas said that implementing Laserfiche with the help of the Adjamian team has been incredibly beneficial to their office. Both office space and general efficiency and productivity have increased since the implementation.

“I’d refer it to anyone. I don’t ever have problems with Adjamian Affiliated. There’s always support, and I think that’s important,” Llamas explained. “The company has been very caring about our client relationship.”
